Automatic fees, late fees and fee notices

How to have fees created automatically, when they're due, late fees, taxes, drop-in classes and fee notices on WhatsApp.

We recommend having fees created automatically on the 1st and due 10 days later. Late fees only if you're really going to charge them. You set all of this up once.

Where: Settings → How much and when do you charge? → Fees, late fees and taxes

The Fees, late fees and taxes section

Fees

Tap Fees and choose Create them automatically. Then set:

  • When the fee is issued: on the 1st of every month, on the day each student joined, or per student.
  • Issue day and Due after (days).
  • Whether only active students are billed, or suspended ones too.
  • First-month proration: up to which day the full fee is charged, up to which day half, and whether the next month is also charged after the second cutoff.

If you'd rather create them by hand, Billing has a Generate this month’s fees button.

Late fees

In Late fee, choose Apply a late fee, the day it applies and whether it's a fixed amount or a percentage of the fee. With Also charge late fees on debts from previous months, each unpaid debt adds a late fee every month; with it off, there's a single late fee per fee.

Taxes

If you charge a tax (sales tax, VAT, GST…), in Tax you enter the name, the rate and what it applies to (fees and products, or only shop products), and whether it's Included in the price or Added to the price. You can add a second tax.

Drop-in class

In Drop-in class and referrals → Drop-in class you set what someone pays to come to a single class. Each discipline can have its own price in the Catalog. Leave it empty and it isn't offered.

Fee notices

Where: Settings → Which notices go out, and when? → Fee notices

Fee notices: before the due date, on the due date, debt reminders and the late fee notice

Check Send notices and choose which ones go out, by WhatsApp, email or both:

  • Before the due date, on the days you choose.
  • On the due date.
  • Debt reminders and suspension notice, on the days of the month you choose: the first one is the reminder and the last one is the suspension notice.
  • The day before the late fee ("it applies tomorrow").

Our recommendation: keep the advance notice, the "due today" notice and the debt reminders on; the late fee notice only if you charge one. The text of each notice is edited in Notices and texts.
